Terms and Conditions
All classes subject to change. Bookings are subject to availability. All classes, courses and workshops must be prepaid in full prior to commencement. All full course bookings take precedence over drop-ins or makeups. Upfront prepaid bookings take precedence over inquiries or in-progress bookings. Unfortunately, we can no longer afford to offer payment plans due to an increase in ghosting behaviour.
Cancellation Policy
Please email all notice of absence and any requests for a makeup class, credit or a refund to trainstationdancefitness@outlook.com. At least 24 hours prior written notice needs to be given to be considered. Change-of-mind is not grounds for a refund.
Workshops - There are no refunds for Workshops. (Your workshop spot may be transferred to another student if the studio is contacted to arrange this with at least 24 hours notice).
Casual Classes / Trial Classes - A booked class must be cancelled 24 hrs before the class to avoid any credit being used for the class.
Private Tuition - Payment must be made prior to your lesson. We require at least 12 hours notice to cancel and reschedule - there are no refunds for short notice or no-shows.
For Courses - full refunds (less a $50 cancellation fee) may be given if cancelled at least 7 days before the commencement of the course. We do not offer refunds for course bookings under any circumstances once a course has commenced. You may transfer your payment to another course within the same term if there are places available and if it is at least 24 hours before both courses are due to commence.
A casual class or drop-in may be cancelled by the studio if it does not have minimum numbers to run - you will receive as much notice as possible and a full refund of credits. A course may be cancelled by the studio if it does not have minimum numbers to run at the start of a term. You will be notified and will either be allowed to transfer to another course within the same term (if there is room) OR you can opt to receive a full refund. Full refunds are only granted if the studio has entirely cancelled a course.
Make-up classes
Makeup classes are a courtesy and not guaranteed. No refunds or credit are issued for missed classes (no shows). If you are going to miss a class that is part of your course, we need written notice 24 hours beforehand to be able to schedule a makeup class of the same (or a lower) level and class type - there is a waitlist. Makeup classes cannot be arranged retrospectively. Makeup classes need to be pre-booked. Makeup classes are dependent on availability of a spot in a suitable class and time-slot. There are no makeup classes for missed makeup classes! Makeup classes cannot roll over into another term, they must be taken before the course you are booked in to has finished. We allow a maximum of 3 MUCs per term per course. Makeup classes can not be scheduled to be taken in Week 1 of a new term as booking numbers are not finalised, we contact all on the waitlist in Week 2 with availability.
Late-comers
Sometimes, it’s impossible to be on time. However, the first part of any of our classes is a warm-up that enables your body to perform at its best and to help prevent injuries. Students who miss the entire warm-up may be refused entry to the class for their own safety. If it’s your first class, it is especially important to arrive to least 5-10 minutes early to read and sign your paperwork without which you will not be able to take your class. No refunds or makeup classes are allowed for those who miss part of their class.
Privacy
TrainStation Dance and Fitness is bound by the Privacy Act and will act accordingly. TrainStation Dance and Fitness collects your personal information for legal purposes and in case of emergency only and will not sell or release your information to a third party unless legally required to do so.

Student Code of Conduct (incl Practice Time)
All bags and belongings are to be stored in the shelves provided during your time at the studio. This prevents trip hazards. TrainStation Dance and Fitness takes no responsibility for valuables brought onto the premises. Remove any jewellery and accessories before using poles or aerial equipment and refrain from wearing broken shoes or any shoes with buckles, crystals/diamontes or studs. This is to prevent injury/damage to you, others, and the studio floors and equipment. No iTac or wax based products are to be used on the poles, no Dry Hands on hoops or silks, no moisturiser or oils to be applied the day of class. If you’re unsure about a product, please ask reception. Wipe poles with metho and cloth, top-to-bottom, after use. Wipe yoga mats with provided gym wipes after use. Put away all mats, metho, cloths, blocks, rollers etc. after use.Don’t try anything in practice time that you’ve not been taught by a professional. In classes, you are to stay within the context of your class and do as directed by your instructor - engaging in activities that are not as directed by your instructor during class may put you, others and your instructor at risk of harm. Do not teach other students during class or practice times – please leave that to our experienced instructors for everyone’s safety. No students/participants are to make changes to or adjust pole, aerial rigging or studio equipment. Ask for help at reception. Always use crash-mats under all aerial equipment. When in doubt, use a crash-mat and ask for a spotter, or wait to ask an instructor in class. As a student or practice time participant you are expected to be considerate of others and conduct yourself respectfully and appropriately at all times within the studio. Any discriminatory, defamatory, inflammatory or risky behaviour will result in you being asked to leave. Any accidents and/or damage need to be reported to the receptionist or nearest instructor immediately.
COVID-19 Restrictions
I have read the TrainStation Statement re COVID-19 and any related emails and posters, and I agree to abide by instructions given by TrainStation staff regarding my movements and actions while in the studio pertaining to government mandated COVID-19 restrictions and guidelines including but not limited to:
- checking in via QR code using the Service Victoria App
- only enter the premises if I am double vaccinated (and have had any relevant / due boosters) & agree to show my vaccination certificate when asked
- maintaining 1.5m distance from others at all times while on the premises or waiting outside the premises
- the use of hand-sanitiser and/or hand washing (on entry and after coughing, sneezing, touching my face or eating)
- wearing a properly fitted mask, that covers my mouth and nose, to the premises, while on the premises (except if "out of breath" while exercising) and on leaving the premises [unless I am exempt, in which case I will provide a letter from my Dr]
- maintaining respiratory hygiene as directed by government guidelines and posters
- staying home and notifying the studio if I feel unwell before a class
- leaving promptly, if asked, if I show symptoms of a persistent cough, cold or flu symptoms, a fever etc
- agree to have my temperature taken by digital forehead thermometer
- using the marked walkways and stop points as well as the designated marked work-out space
- cleaning of equipment and floor area used
- bringing of my own full water bottle, sweat towel and yoga mat to each lesson
- following the government's recommendations re gym and indoor exercise facilities: "get in, train, get out", meaning that I will arrive no earlier than 10 minutes before my class and will leave directly after my class(es), or after 2 hours of training (whichever is sooner). If I have multiple classes on one day, I will leave between classes and come back 10 minutes before my next class
- giving my current address and contact details to reception to be retained (following the Privacy Act) and used by health authorities to contant myself or others in the case of COVID-19 exposure while at the studio
- understanding that the below waiver also covers risk of COVID-19 exposure under "health" and "illnesses"
Waiver/Release/Indemnity/Undertaking
You certify and acknowledge that you are over 18 years of age. You acknowledge that the activities conducted at TrainStation are designed to focus on well-being, health and fitness, the cardiovascular system, flexibility, balance, coordination, muscular development and endurance. You acknowledge that participation in some sessions or other activity may carry risk of harm, damage to health and safety that may include permanent injury, disability or even death and that if you have disclosed certain illnesses or conditions including pregnancy that put you at risk, TrainStation Dance and Fitness has the right to refuse to allow you to participate in session/s and other activities, unless and until, you provide a medical certificate clearing you for the specified activity you are undertaking at TrainStation Dance and Fitness for its duration in an approved form from a qualified medical practitioner. You certify that you have consulted with a medical practitioner in regard to any past or present injury, illness or other condition including pregnancy which may affect your suitability or ability to participate in organised activities held at TrainStation Dance and Fitness; by participating in classes, course, workshops, private lessons and other activities, you agree that you are personally and unconditionally assuming responsibility for any harm, damage or loss suffered by you as a consequence of your participation. To the extent permitted by law, you release, indemnify and will keep indemnified TrainStation Dance and Fitness and its officers, directors, employees, agents, contractors, landlords, lessee and staff from and against any claims, rights or causes of action, including claims for negligence arising from your participation in sessions and other activities. This document may be produced and relied on as a complete defence to any such claim.
